Relationship Management
- Build and cultivate relationships with clients and colleagues
- Act as Corporate Real Estate Liaison for employees
- Handle all aspects of the Conference Space
- Conference Space Operations
- Approve reservations and assist with space setup as needed
- Handle the conference space setup and support calendar
- Routinely check technology, furniture, and general condition of rooms
- High Touch Event Management
- Work directly with the client to figure out logistical goals of event
- Keep fluid communication with the client to ensure success from inception to conclusion of the event
- Clearly communicate to all relevant internal departments regarding the specific needs of each event including but not limited to room setup, audio visual and catering requirements
- Day of event management
- General oversight of event
- Act of point of contact for event host, vendors, AV support, catering, and facilities
- Training Space Management
- Handle all training space requests and guide employees to setup a successful training
- Handle event contracts and insurance requirements as needed
- Handle event quotes
- Provide quotes for event services such as setup, security, and janitorial
- Conference Space Operations
- Vendor Management
- Partner closely with vendors to ensure positive relationships and successful support of conferencing space and events
- Participate in Quarterly Business Reviews and provide constructive feedback of service providers
- Administrative Responsibilities
- Maintain Room Booking System
- Approvals, Reservation assistance
- Maintain accuracy of room information
- Reporting as needed
- Cross location support of smaller corporate sites
- Employee Communications regarding Conferencing and Events
- Team shared Outlook inbox supervised daily
- Maintain Room Booking System
- Ad Hoc Corporate Real Estate Support
- Travel Reduction Program Management
- Handle budget and documentation for yearly audits of the Travel Reduction Program. Distribute marketing communications and run quarterly informational fairs
- Vendor Badge Renewals
- Campus Tours
- Other ad hoc requests and project support
- Travel Reduction Program Management
What you have
- Four year college/university degree required; or at least 3 years in related field
- Outstanding verbal and written communication skills required
- Excellent interpersonal and customer service skills required
- Time Management and Organizational skills
- Must be familiar and proficient with personal computers and PC based software such as Microsoft Excel, PowerPoint and Word.
