Job Description
Administrative Assistant
- 35 hours per week
- Currently remote due to COVID travel restrictions, Onsite at NYHQ beginning in September
Summary:
Reporting to the HCP lead, the Administrative Assistant will provide a comprehensive range of administrative support to members of the Vyndamax Marketing team. The individual in this role will support colleagues in responsibilities such as arranging meetings and events, coordinating travel arrangements, creating T&E reports, managing agendas in team meetings and contributing to broader Rare Disease initiatives.
Responsibilities:
- Provide the full range of administrative support including managing complex calendars, scheduling time-sensitive meetings with key stakeholders, managing travel arrangements (post-COVID travel restrictions), completing expenses, and other duties as assigned
- Complete quality work on a timely basis, using judgment to prioritize / triage most urgent issues, prioritizing activities, and working to resolve them immediately
- Demonstrate expert collaboration and communication skills and work in a team environment to share knowledge, influence best practices, and coordinate workflow. Work well with colleagues located across various remote and Pfizer sites, as well as with external contacts, to coordinate schedules and priorities
- Handle correspondence/documents of a confidential nature and where appropriate respond to, create, compose and/or edit written materials and/or e-mail responses
- Work with other administrative colleagues to coordinate team meetings, prepare and edit meeting agendas, minutes & action items, reports, and presentations using applicable software
- Works well in a self-directed environment, with minimal instruction needed, assumes increased levels of responsibility, and takes accountability for decisions and outcomes
- Completes other work and projects as assigned
Qualifications:
- High School Diploma or GED is required
- Bachelor’s Degree preferred
- Minimum 3+ years of demonstrated experience supporting cross-functional teams
- Demonstrated planning, prioritization, and organizing skills
- Proficiency using Microsoft Office is required
- Strong interpersonal and communication skills are required
- Expense reports and budgeting experience
- Demonstrated planning, prioritization, and organizing skills
- Excellent proofreading skills and high attention to detail
- High professionalism working with key stakeholders
- Proficiency in Outlook, and Pfizer internal systems such as Ariba, PT&E, Teams, and Concur is preferred
- Must have large company corporate experience
- Pharma experience is preferred
- Former Pfizer experience is preferred
