Your Opportunity

The Specialist, Administrative Support will be a part of Retail Client Experience, Operations and Planning team. Our team’s mission is to support Investor Services & Marketing leadership in shaping the future of our business while relentlessly enhancing the client experience, leading integration, executing on high priority cross-channel initiatives, managing shared resources, and enabling the Field to work with clients.
This position will report to the Vice President of Client Experience and will provide primary support for three department executives.

What you are good at

  • Schedule and coordinate meetings, manage calendars, make travel arrangements and reconcile travel expenses, assist with IT issues via National Service Desk.
  • Support VP Direct Reports and their team as needed.
  • Coordinate team and department staff meetings – manage agenda, technical setup, liaison with guest attendees, schedule conference rooms, order food, etc.
  • Set up multi-person interview schedules for candidates, arrange travel, manage expenses reimbursement, and coordinate with Schwab recruiting, as needed.
  • Assist with new hire set up/onboarding.
  • Quarterly access list review, i.e., distribution lists, shared folders, etc.
  • Work with vendor management for invoice processing, check requests, etc.
  • Order and maintain department supplies and perform general clerical duties including photocopying, faxing, emailing, and filing.
  • Work with other Administrative staff across departments as needed.
  • Maintain extreme confidentiality with all aspects of department information.

What you have

  • Bachelor’s degree preferred
  • 5+ years administrative experience supporting executives
  • Advanced proficiency in Microsoft Office and demonstrated strength in developing complex PowerPoint presentations
  • Ability to exercise exceptional judgment regarding information which may be confidential or non-public
  • Demonstrated strength with multi-tasking and prioritizing work with a strong attention to detail
  • Excellent planning, organizational and written/verbal communication skill
  • Positive attitude, enthusiasm, professionalism and strong work ethic with high level of integrity and ethics
  • Exercise discretion combined with poise and professionalism in all communication.
  • Proven ability to work in a fast paced team oriented environment across multiple locations and business groups
