As a valued colleague on our team, you will perform routine and non-routine clerical and administrative functions such as sending correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers.THE IMPACT YOU WILL MAKE
The Digital Engineering – Administration Support – Senior Associate role will offer you the flexibility to make each day your own, while working alongside people who care so that you can deliver on the following responsibilities:
  • Perform complex administrative tasks and analyses to maintain organization and inspire effective communication
  • Lead efforts to ensure organizational messages reinforce a culture of transparency; ensure messaging demonstrates how DE/OSS continues to support Digital Engineering, Operations and Enterprise initiatives
  • Effectively support DE and ESAT activities (survey issuing, reminders)
  • Serve as effective point of contact for Chief of Staff and Business Management Office with ability to answer general queries
  • Collection of OKR data and ensure properly loaded for T3 reviews and into PowerApps for T4
  • Support Continuous Improvement efforts (i.e. tracking, recognition)
  • Effectively manage leader’s time by identifying key strategic meetings of importance and prioritizing on behalf of leaders
  • Serve as back-up POC for Business Continuity Planning supporting OSS
  • Develop and manage Admin processes; organization charts, technical requests/tickets, training/conference requests and headcount requests
  • Execute activities for teams or business groups
  • Events/Meeting support (Facilitation, Logistics, and Follow-up)
  • Prepare for and execute All Hands meeting monthly
  • Lead OSS Awards Ceremony and Midyear or End of Year Events
  • Lead as needed teambuilding activities
  • Lead 7Days to SERVE efforts; serve as SERVE coordinator for Digital Engineering, OSS, Operations, and COO
  • Ensure collaboration with teams or business groups in achievement of divisional goals or objectives
  • Liaise with business partners (strategy, space, communications, finance)
  • Coordinate executive leadership activities (including focus groups or meal with SVP, EVP)
  • Effectively serve as Digital Workplace Customer Engagement Forum Member supporting Digital Engineering and OSS
  • Effectively serve as Digital Engineering and OSS space planner and working closely with workplace strategy team
  • Actively participate in ERGs, including serving as POC for Plano location, Digital Engineering, OSS, Operations, and COO. This includes encouraging participating by supporting membership drives and other virtual events
  • Serve as POC for executive visits to Granite Park
  • Ability to serve as back-up for other leaders when needed
  • Experience supporting Tech/Software organizations going through a digital transformation
  • Effectively setup same day meetings coordinating with admins of other VPs and SVPs
  • Ability to communicate and act as an ambassador for the Digital Transformation, including a high-level understanding of the technical side
  • COO Initiatives; Application Program Interface, Modeling Technology, Process Efficiency and Automation Center of Excellence (PEACE), Cloud Migration and Enterprise Process Repository
Qualifications
THE EXPERIENCE YOU BRING TO THE TEAM
Minimum Required Experiences
  • 2 years of related experience
  • Must have previous Administrative experience
  • Outlook calendar maintenance
  • Experience with expense reporting and travel reimbursements
  • MS Office products
  • Must have relationship management skills
  • Ability to prioritize work

Desired Experiences

  • Bachelor degree or equivalent
  • 5 years of Administrative experience preferred
  • Background in Project Management
