Job Description

Location:

National Harbor, MarylandIt is the primary responsibility of the Special Events Coordinator to provide support for the Special Events department. All duties are to be performed in accordance with the department and property policies, practices and procedures.

POSITION RESPONSIBILITIES/DUTIES:

  • Support department management team with overall event planning, coordination, and execution.
  • Write/prepare event related communications, including guest letters, property wide memos, event specific fact sheets and all property event collateral
  • Research, develop and manage relationships with vendors/entertainment to ensure all prerequisites are met during the events
  • Create rules for all events; seek approval from compliance, legal and marketing teams
  • Research and recommend companies to hire for additional event staffing needs
  • Research gifts for events and schedule/prepare gift presentations for Executives
  • Process payments for vendors and event collateral, including creating check requisitions and purchase requisitions for approval and ensure payment is received
  • Recommend event themes, and arrange floral and décor presentations through work with décor company to create a vision and see it through
  • Proofread all event invitations and printed event collateral
  • Provide excellent customer service when working with guests and resolve guest issues
  • Attend events to ensure all details are attended to and be the main contact for all support departments and assist with event execution (registration, scoring, taking tickets) as required
  • Understand the MGM National Harbor Internal Control Standards and ensure all event reports are compliant and proper paperwork is filed
  • Coordinate assistance from other departments (PBX, Engineering, Sign Shop, Timelox) for event support/execution
  • Order office supplies and maintain accurate records of the Wells Fargo card and complete Infor Expense Reports
  • Engage, entertain and inspire all who visit MGM National Harbor by making a focused commitment to S.H.O.W.
  • Other job related duties as requested

SUPERVISORY RESPONSIBILITIES:

EDUCATION and/or EXPERIENCE:

Required:

  • Three (3) years of experience Special Events in a related field
  • High school diploma or equivalent
  • Effectively communicate in English, in both written and oral forms

Preferred:

  • Bilingual, English as the primary or secondary language
  • Previous experience working in a similar resort setting

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Gaming Registration
  • Proof of eligibility to work in the United States

  • Excellent written communications skills
  • Strong organizational skills with attention to detail and quality
  • Proficiency in Microsoft Office, Players Club/Patron, Opera, VIPR, Cognos 8, SQL, Symposium, APrimo, ORS, E commerce, CTS, and other relevant software
  • Ability to effectively prioritize, organize and follow-up with tasks associated with projects and events
  • Excellent customer service skills.
  • Interpersonal skills to effectively communicate with all business contacts.
  • Ability to effectively communicate in English, in both oral and written forms.
